The Thunder Bay Chamber of Commerce is seeking a highly organized and detail-oriented Accounts & Administration Coordinator to join our team. This full-time position involves managing accounting tasks, office administration duties, and maintaining our database system. The ideal candidate will have strong communication skills, proficiency in accounting software, attention to detail and the ability to multitask in a dynamic environment.
 
KEY RESPONSIBILITIES
 
Accounting:

  • Manage accounts receivables and payables using SAGE Accounting, Auto Entry, ChamberMaster (database) and RBC Edge including preparation of invoices and monthly statements
  • Pay invoices using credit card, RBC Edge, bank drafts, and e-transfer
  • Track pre-authorized payments for membership and events
  • Prepare bank deposits, bi-weekly payroll reports, WSIB, and HST quarterly reports and manage all record keeping ensuring compliance with records retention policies
  • Balance bank reconciliations and GL accounts and prepare monthly financial statements and cash flow reports
  • Send membership invoices monthly and follow up with statements and cancellation notices. Cancel memberships as required and prepare new and cancelled reports.
  • Collaborate with auditors on year-end audits and prepare intern funding reports.
  • Assist staff in budget preparation
 
Office Administration:
  • Answer telephone calls and emails and respond to inquiries.
  • Perform filing and photocopying as needed and assist with other administrative duties.
  • Assist with Chamber events as required.
  • Prepare and manage the office supplies budget and order supplies as necessary.
  • Coordinate committee activities, agendas, minutes, and follow-up actions as assigned
  • Liaise with service providers for computers, photocopy, phone, and internet issues.
 
Database Management:
  • Manage and monitor items in Chamber Master database, including billing and payments, communication templates, event & fee set up, and participant registrations
  • Enter and refund payments as necessary and prepare billing.
  • Lead ongoing issues resolution and staff training on procedures.
 
Qualifications:
  • Proven experience in accounting and office administration.
  • Proficiency in Sage Accounting or similar bookkeeping software.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy in managing financial records.
 
Employee Benefits:
Salary range: $25-$30/hour based on experience. Eligible for Chambers Health Plan coverage, paid sick time and flexible working hours.
